Fresh POS is a point of sale for cafés and restaurants, provided by TheFreshTech, LLC (“we”, “us”). This page explains what information we handle, why, and what you can ask us to do with it. It covers this website and the Fresh POS apps.
Two kinds of people
Restaurants and their team use Fresh POS. For their account, we decide how the information is used. Guests are the restaurant’s customers: the people who order, pay, book a table or message the restaurant. For guest information the restaurant decides how it is used, and we only handle it on the restaurant’s behalf to run the service.
What we collect
On this website
- The email address you type into the “Get started” form, so we can reply to you.
- Which pages are visited, counted with a cookie-free analytics tool that we run ourselves. It records the page, the site that sent you, your browser and screen size and your country. It does not set cookies, does not store your IP address and shares nothing with an advertising network.
- Fonts are loaded from Google Fonts, which means your browser contacts Google when the page opens. We do not use advertising or tracking cookies.
From a restaurant using the app
- Account details: business name, address, phone, sign-in email and a password we store only in hashed form.
- Team details: names, roles, sign-in emails, shifts and hours worked.
- The business’s own data: menu, prices, tables, orders, payments, cash shifts, stock, recipes and settings.
About guests, on the restaurant’s behalf
- Name and phone number, order history, loyalty points and feedback the restaurant records or the guest gives.
- Messages a guest sends to the restaurant’s WhatsApp number when the restaurant has switched on WhatsApp ordering.
How we use it
- To run Fresh POS: take and save orders, show them in the kitchen, work out reports and keep each restaurant’s records.
- To keep the service safe, fix faults and answer your questions.
- We do not sell personal information, and we do not use guest information for our own marketing.
Who else handles it
We use a small number of providers, and only when a restaurant switches the feature on:
- Stripe for card payments. Each restaurant connects its own Stripe account. We keep the account identifier, never card numbers, keys or tokens.
- Meta (WhatsApp) to send and receive WhatsApp messages on the restaurant’s own number. The access token for a restaurant’s number is stored encrypted.
- Our hosting and infrastructure providers, who store the data for us.
Each restaurant’s data is kept separate from every other restaurant’s. We may also share information when the law requires it.
How long we keep it
For as long as the restaurant has an account, because orders, cash closes and refunds are business records that are written once and kept. When an account is closed we delete or anonymize its data within a reasonable time, unless the law says we must keep something longer.
Your choices
- Restaurants can ask for a copy of their data, a correction or deletion of the account.
- Guests should ask the restaurant first. Guests can opt out of messages, and a guest who has opted out is not sent campaigns. We will help the restaurant answer any request.
- Anyone can ask us what we hold about them, or to stop writing to them.
Security
Sign-in is required for the apps, what each person can see depends on their role, and secrets such as passwords and access tokens are never stored in plain form. No system is perfectly secure, so please tell us at once if you think an account has been misused.
Changes
If we change this page in a way that matters, we will update the date above and, for restaurants with an account, tell them.
